About the Role
We are currently searching for a Donor Administration Coordinator to join our Fundraising Team in a permanent full-time capacity. This role will be responsible for managing all donor administration processes, supporting the development and implementation of the donor development program for RSPCA Victoria to enable the organisation to achieve its vision of ending cruelty to all animals.

Duties and Responsibilities

  • Provide support in the development, and implementation of the donor development fundraising program working collaboratively with the wider team and key stakeholders, with a focus on the Appeals and Regular Giving programs. Also including, supporting the coordination of Bequest, Corporate, Community Event and Major Gift identification, processing, and acknowledgement.
  • Effectively utilise organisational systems, processes and work plans to promote the donor development program, including supporting new initiatives driven by the Fundraising team aimed at sustaining and growing RSPCA Victoria’s income base.
  • Lead the training, engagement, and recruitment of volunteers within the Fundraising team to support our work, working with the Volunteer Engagement where required.
  • Lead continuous improvement, and drive best practice process refinement to ensure the effectiveness of procedures and techniques used to inspire increased levels of donor support, specifically for the Regular Giving program, working collaboratively with IT and Finance.
  • Provide excellent customer service and donor care via all contacts points across the donor database, ensuring that all queries, complaints, receipting, deductions and rejected/default donations, as well as the production of additional donor requests, are completed in a timely and efficient manner.
  • Lead donor operations, including maintaining the integrity of data entry processes, maintaining database records ensuring privacy of donor information, opening and sorting mail, donation processing and banking administration of campaign and regular giving donation programs.
  • Administer the suite of Membership Programs of RSPCA Victoria, ensuring all processing and constitutional requirements are met.
  • Contribute to a positive and inclusive work environment by effectively communicating and working collaboratively with peers across all departments, and consistently behaving in accordance with the RSPCA Victoria values and associated policies.
  • Takes reasonable care for the safety of oneself and others, whilst contributing to safe work practices at RSPCA Victoria by knowing and complying with all WH&S policies and procedures.

What we are looking for

  • Previous experience in a similar role that requires strong administration and organisational skills and utilisation of a donor management or customer relationship management database.
  • Understanding of CRM database management and data driven marketing best practice.
  • High level literacy, numeracy, and problem-solving skills, including intermediate computer skills (including use of Microsoft Office Excel and PowerPoint).
  • Ability to work in a fast paced and challenging work environment.
  • Demonstrated experience working collaboratively in a team environment.
  • A valid COVID-19 vaccination certificate.
